Split and merge PDFs on a Mac without installing anything

Preview can combine PDFs, pull out pages and reorder them, and almost nobody knows how. The full method, its two real limits, and when to reach for something else.

Preview merges PDFs. It has done so for over a decade, it needs nothing installed, and the feature is hidden well enough that most Mac users pay a website to do it instead.

Merging two PDFs

  1. Open the first PDF in Preview.
  2. View → Thumbnails to show the page sidebar.
  3. Drag the second PDF from Finder into that sidebar, dropping it where the pages should go.
  4. Drag thumbnails around to reorder.
  5. File → Export as PDF to write out the result.

Two details that account for most of the frustration people have with this:

  • You must drop the file into the thumbnail sidebar, not onto the page view. Dropping onto the page area does nothing.
  • Use Export as PDF at the end. Save can leave you editing the original file rather than producing a new combined one, and there is no undo once you have closed it.

Pulling out pages

In the same thumbnail sidebar: select the pages you want (⌘-click for several), then drag them out to the Desktop. Preview writes a new PDF containing just those pages.

To go the other way, select the pages you do not want and press Delete, then Export.

Rotating and reordering

Select a thumbnail and press ⌘R to rotate. Drag to reorder. Both changes apply to the exported file.

Where Preview runs out

One document at a time. Preview is a document editor, so every operation is a document you opened, changed and exported. Combining twelve scans into one file is fine. Splitting sixty invoices into sixty separate PDFs, or merging thirty pairs, is an afternoon.

No page-size normalisation. Merge an A4 report with a Letter-sized scan and a photo, and you get a PDF whose pages are three different sizes. It looks wrong on screen and prints worse. Preview has no way to force every page to one format.

That second one surprises people most often — the merge succeeds, and the result is subtly unusable.

When to reach for something else

If the job is repetitive or the sizes are inconsistent, ByEase File Tools does the same operations in batch: its Integrator merges dozens of PDFs and images into one ordered document, the Splitter breaks a large file into pages or custom ranges, and the Standardizer forces every page to a single format — A4, A3 or Letter — which is the step Preview is missing.

A note on merging scans

If you are combining scanned pages, check the orientation of each one before exporting. Scanners routinely flip alternate pages when fed a stack, and a merged PDF with every second page upside down is the classic result. Preview’s ⌘R on the offending thumbnails fixes it before you export, and it is much easier than after.
